This position is available for Monday through Friday, 9:00am to 3:00pm. This position receives all government holidays off and may be eligible for extended health benefits.

Purpose

The role of the administrative assistant is to ensure efficient and timely operations of the office reception for Challenge Disability Resource Group. The administrative assistant will work under the direct supervision of the Finance Coordinator.

Administrative Assistant will perform a wide range of duties including some or all of the following:

Office Administration

• Use Microsoft Word, Excel, Outlook, Publisher to prepare reports, memo’s and documents

• Sort incoming mail, faxes and courier deliveries for distribution

• Prepare and send outgoing faxes, mail, and courier parcels

• Forward incoming general e-mails to appropriate staff member

• Purchase, receive and store the office supplies ensuring that basic supplies are always available

• File material according to the established procedures

• Provide secretarial and administrative support to management and other staff

• Coordinate the maintenance of office equipment

• Creating files

• Maintaining staff attendance binder and filing in personnel files

• Production of thank you and donation letters and follow up regarding donation letters

• Archive files

• Assist with organizing events

• Administering client paychecks

• Assist with Payroll

Assist with Financial Management

• Prepare accurate deposits

• Month end duties as required

• Assist with financial reports as required

• Other duties as required

Experience

• Administrative Assistant Certificate or Equivilant and/or

• 1-3 years experience in an office setting

• Clear Criminal Record Check

• Valid driver’s license

Working Conditions

• Work in an office environment

• 9am to 3pm Monday through Friday

• May be required to work some overtime hours such as attending AGM

• Dress in appropriate office attire
