Purpose

The role of the administrative assistant is to ensure efficient and timely operations of the office reception for Challenge Disability Resource Group. The administrative assistant will work under the direct supervision of the Finance Coordinator.

Primary Duties and Responsibilities

Administrative Assistant will perform a wide range of duties including some or all of the following:

Reception

• Answer general phone inquiries using a professional and courteous manner

• Direct phone inquiries to the appropriate staff members

• Reply to general information requests with the accurate information

• Greet clients/suppliers/visitors to the organization in a professional and friendly manner

Office Administration

• Use Microsoft Word, Excel, Outlook, Publisher to prepare reports, memo’s and documents

• Sort incoming mail, faxes and courier deliveries for distribution

• Prepare and send outgoing faxes, mail, and courier parcels

• Forward incoming general e-mails to appropriate staff member

• Forward voice mail from the general mailbox to the appropriate staff member

• Purchase, receive and store the office supplies ensuring that basic supplies are always available

• Keep the supply area in a neat, tidy, and accessible manner

• File material according to the established procedures

• Provide secretarial and administrative support to management and other staff

• Make meeting arrangements for staff and book boardroom accordingly

• Coordinate the maintenance of office equipment

• Creating files

• Maintaining staff attendance binder and filing in personnel files

• Production of thank you and donation letters and follow up regarding donation letters

• Archive files

• Assist with organizing events

• Administering client paychecks

• Complete general housekeeping of office and entrance (dusting, watering, tidying)

Assist with Financial Management

• Prepare accurate deposits

• Month end duties as required

• Assist with financial reports as required

• Other duties as required

• Organization – Set priorities, develop a work schedule, monitor progress towards goals and track details/data, information/activities.

• Plan – determine strategies to move the organization forward, set goals, create and implement action plans, and evaluate the process and results.

• Solve Problems – Assess problem situations to identify causes, gather and process relevant information, generate possible solutions and make recommendations and/or resolve the problem.

• Work with minimal supervision and have the ability to ask for help when needed

• Ability to flex time as needed with notice

Experience

• Administrative Assistant Certificate or Equivilant and/or

• 1-3 years experience in an office setting

• Clear Criminal Record Check

• Valid driver’s license

Working Conditions

• Work in an office environment

• Usually work a standard work week

• May be required to work some overtime hours such as attending AGM

• Dress in appropriate office attire
